What you can expect during the service process

Below is the list of steps we undertake: Let us give you a brief overview of your order’s journey from the time you request a quotation to the time you receive your digital design project via email or a downloadable link.

SERVICE PROCESS

Request a Quote

►The first step in requesting a quotation for a service of interest is to complete the Quote Request Form and make a few notes regarding your requirements, the timeframe for completion, your available time commitment to the service process, and consideration of your budget availability for the services in need. Please make sure the form is complete and that we have a comprehensive understanding of all of your requirements.

►This first step is all about us understanding what you want and adding our technical experience, strategic thinking, and high-quality design accompanied by personal attention to complement your request or project. The technologies that are going to be used for the project will be chosen by our team based on your requirements, budget, and ease of development and maintenance.

►Important: If you have special preferences or requirements, please let us know in advance.

Confidentiality
►As developers, we are continuously managing vital information for your needs, project and business, and we understand your concern. Sometimes it is information about your customers, sometimes confidential documents, sometimes part of your business know-how...

►Every message, conversation, file, or piece of data you send regarding your personal or business information is kept strictly confidential. Under no circumstances will we reveal, sell, or use this information for any other purpose than to develop your project.

Acceptance of the quotation and payment details

►All quotes are based on our understanding of your requirements and the given time frame. We will send you a quote within one business day. If you did not receive an email, please check your spam folder in case the email was delivered there rather than your inbox. If so, select the email and click "Not Spam," which will allow future emails to get through. 

►Ensure that we have included all requirements in the quote and that we fully understand the requirements. Any changes to the functionality, including micro-improvements, may incur additional costs accordingly. You agree to and accept the terms and conditions of www.winaid.co.za by accepting a quote.

Payment

►At the time of the client's acceptance of the quotation via email, the client confirms and indicates acceptance of the terms and conditions. The client will receive an order confirmation and an invoice via email from our customer service team.

►Once-off small digital design projects (under R1000.00), for example, a digital business card and social media ads, are charged at a custom price based on your technical requirements. Winaid will issue an invoice to the client for payment on the relevant invoicing date. All such invoices require full payment, as the total project fee is less than R1000. The client will make payment to Winaid within one business day of the invoice issue date, or as specified on the invoice if later.

►Most of our other larger development project services (above R1000.00), for example, website design, require a non-refundable deposit of 50% of the quoted fee and are due within one business day of the invoice issue date, or as specified on the invoice if later. Winaid requires the 50% deposit to be paid in full before work will commence. Prior to uploading to the server or releasing the project, the remaining 50% of the invoice total will be payable upon completion of the project.

►Payments can be made by direct bank deposit, cash, or EFT (Reference: Name & Surname). The receipt of payment is deemed acceptance of the quotation, invoice, and Winaid's terms and conditions, which can be viewed at www.winaid.co.za.

Development

►The development process will begin once we have received a 50% deposit for larger projects or the full invoiced amount for smaller projects under R1000, as well as all of the necessary information and requirements. 

►You can rely on us to help you attain solid results! It takes technical and strategic thinking, high-quality design capabilities, and personal attention and experience to create a solid, professional, tailor-made project to fit your requirements, and most importantly, one that delivers effective marketing results and revenue!

►The time it will take to complete the development process and deliver the project will depend on the agreed time frame at the time of the acceptance of the quotation as well as the timetable set out in the design schedule for larger projects.

05.

Presentation and Revisions

►After the development process, we will send you the project design via email or, for larger projects, a server or Google Drive link for you to review your project and advise on any changes for final approval.

►We deliver two rounds of revisions to the project (wording, design, etc.) within the agreed time frame at the time of the acceptance of the quotation, as well as the timetable set out in the design schedule for larger projects. 

►Revisions should be requested along with an explanation of why it did not meet your expectations, as this information is critical for the final revision. You are welcome to let us know if there are any content changes you would like to make. Your final changes will be made. We will advise you and seek your agreement before proceeding with any work that will incur additional charges. Following two revisions per project, an additional hourly fee will be charged.

Approval

►We’ll send you the final project design with your changes for approval.

07.

Finalization and Delivery

►Our team will deliver project files in the most suitable format if the client has no special preference. All applicable project industry-standard file formats for deliverables and source files are usually sent via email for smaller projects that do not require hosting functionality, a server link, or a domain. In addition to the deliverables, we will supply all of the client-supplied source files that were utilised to create the project.

08.

Guarantee

►Your satisfaction is guaranteed! We do our best to avoid drafting and design issues while working on your projects. However, in such cases, we will fix them at no charge. This guarantee protects you if the work is defective at delivery time (and not because of changing environments).

We will review your request and your specific requirements, then contact you through email and WhatsApp within 24 hours during standard business hours (Monday-Friday, 8 a.m.–5 p.m.) with your quotation attached for your consideration. By submitting your request for a quotation, you agree to the Terms and Conditions and Privacy Policy.
